Move-in inventory report template for Greece

Move-in and move-out condition report · Πρωτόκολλο παράδοσης και παραλαβής μισθίου

The report that landlord and tenant sign when the keys change hands, at the start and at the end of a lease. It records meter readings, keys, the condition of each room and the equipment, so that the tenant returns the home in the condition received, except for normal wear.

Use it on the day the tenant moves in, and again on the day the tenant returns the keys. Fill in the same report twice, ticking entry or exit, so the two can be compared line by line. Greek law does not prescribe a form. The report is the main evidence when the landlord keeps part of the deposit for damage.

Reviewed October 28, 2026. Not legal advice. Have a notary or lawyer check your case before you sign.

Formalities

  1. No form, witness or registration is required.
  2. Inspect the home together, in daylight.
  3. Fill in every line, sign each page and keep one signed copy each.
  4. Take dated photos or a video of each room and refer to them in the report.
  5. Attach the move-in report to the lease.
  6. At exit, write the tenant's new address and bank account for the return of the deposit.
  7. Read the meters on the same day. Send the readings to the electricity, water and gas suppliers so the accounts move to the right person.

Common mistakes

  • Skipping the move-in report. Without it the landlord struggles to prove that damage at exit is new, and the tenant struggles to prove that it was there before.
  • Writing "καλή κατάσταση" for a whole room. Record each surface and item, with marks, stains, cracks and missing parts.
  • Forgetting the heating. With central heating, record the oil level or the hours meter and who paid for the fuel in the tank.
  • Leaving the utilities in the tenant's name after exit. Record the final readings and close or transfer the accounts the same day.
  • Treating wear from normal use as damage. Faded paint or worn floors after years of use are not damage the deposit pays for.
  • Not writing the tenant's new address and account at exit. The landlord needs them to return the deposit.
