Move-in inventory report template for Denmark

Move-in and move-out inspection report · Indflytnings- og fraflytningsrapport

The report the landlord writes at the inspection when the tenant moves in and again when the tenant moves out, room by room, with meter readings and keys. A landlord who lets more than one flat must hold both inspections and hand over both reports, or loses most claims for move-out repairs.

Use the same layout at move-in (indflytningssyn) and at move-out (fraflytningssyn), so the two reports can be compared line by line. It is mandatory for a landlord who lets more than one flat. A landlord who lets only one flat, for example an owner letting a single flat, should use it too: it is the best evidence of the condition at the start.

Formalities

  1. The landlord summons the tenant to the move-in inspection.
  2. The landlord hands over the report at the inspection, also as a digital document, unless a party has refused digital messages.
  3. If the tenant is absent or will not sign for receipt, the landlord sends the report within 2 weeks.
  4. The tenant must report defects found at the start within 2 weeks of the start of the tenancy, even after a move-in inspection.
  5. At move-out, the landlord inspects within 2 weeks of learning that the tenant has moved out, after a written summons at least 1 week ahead.
  6. Once the lease has been terminated, the parties can agree a shorter summons.
  7. The landlord hands over the move-out report at the inspection or sends it within 2 weeks.
  8. The landlord can claim only repairs listed in the move-out report.

Common mistakes

  • Writing "god stand" for a whole room. Describe floors, walls, ceiling, windows and fittings one by one, and note every mark or crack.
  • Taking no dated photos. Attach them to both reports. They settle most disputes about the deposit.
  • Relying on the move-in inspection as a tenant. Defects you find later must still be reported to the landlord within 2 weeks of the start (§ 91).
  • Holding the move-out inspection late as a landlord, or summoning the tenant by phone only. The landlord then loses the repair claims.
  • Charging the tenant for normal wear and tear, or for bringing the home into better condition than at move-in. The law does not allow it.
  • Forgetting the meter readings. Without them the final utility accounts are hard to split.

Legal basis

  • Lov om leje (lejeloven), lov nr. 341 af 22. marts 2022, §§ 89-93 (move-in) and §§ 186-190 (move-out)
  • Lov nr. 1793 af 28. december 2023 om ændring af lov om leje m.fl., § 1, nr. 10 (deposit refunds before the rent tribunal)
