Move-in inventory report template for Czechia

Handover report for a flat (move-in and move-out) · Předávací protokol k bytu

The report that records the condition of a rented flat room by room, its equipment, the meter readings and the keys, when the tenant moves in and again when the tenant moves out. Comparing the two reports shows what damage goes beyond normal wear and what the landlord may set off against the deposit.

Use it on the day the keys are handed over at the start of the lease, and again on the day the flat is returned. Use the same form both times so each line can be compared. The law does not require a report, but without one the parties have little proof of the condition of the flat.

Reviewed October 28, 2026. Not legal advice. Have a notary or lawyer check your case before you sign.

Formalities

  1. No legal form is set.
  2. The landlord and the tenant, or their representatives, inspect the flat together, fill in the report and both sign every page.
  3. Each party keeps a signed copy.
  4. Attach dated photos and refer to them in the report.
  5. Write the meter numbers and readings. Send the readings to the energy suppliers if the tenant has own contracts.
  6. If a party refuses to sign, write that down and keep the photos.

Common mistakes

  • Writing 'in good condition' for every room. Record each scratch, stain, crack and missing part, with its place, and link it to a photo.
  • Forgetting the meter numbers. A reading without the meter number cannot be checked later.
  • Not counting the keys, chips and remote controls. The flat is returned only when the landlord gets all the keys.
  • Charging the tenant for normal wear, such as faded paint after several years. The tenant owes only damage beyond normal use.
  • Signing the move-out report without listing the damage the landlord claims. Write the claimed items and the agreed or disputed amounts in the report.
  • Not reporting a defect found after move-in. A tenant who does not report it without undue delay loses the right to a refund of repair costs (OZ § 2265(3)).
